Quikscribe News Update -May 15, 2012

We’ve had numerous updates to the Quikscribe Recorder (QSR) and Player (QSP) programs, and also the QS Manager (QSM).  Although the ones mentioned here are mainly product enhancements, there have been quite a few “behind-the-scenes” program improvements related to performance and reliability.

Quikscribe Recorder Enhancements:

NEW   Transferring Files from Portable Recorders (QSR)

When it comes to transferring files from a portable digital recorder, our focus on integration with Quikscribe has been with the Philips Digital Pocket Memo professional model 9600 (which many of our customers have).  The Quikscribe Downloader program provides the interface between the portable recorder and the computer, and then to the user profile settings in the Quikscribe Recorder.  This way there is flexibility in how you select your files to transfer, the ability to define the destination for each file, and to include additional instructions when desired.

The new enhancements to the QS Downloader program now enable any portable recorder (that is recognized by the PC) to engage the features of the QS Downloader.  The QS Downloader will recognize the device and assign a serial number to the unit, which can then be matched to the individual user profile in Quikscribe Recorder.  The device may also be managed with the Downloader profile editor in QS Manager.

Although the Philips DPM still has superior integration features with QS Recorder, this new feature expands the choices of recorder devices to use with Quikscribe.

To use a non-DPM device, connect the unit to the computer, then select Settings in QS Downloader, and then select ‘Use Disk Integration’.  Under Device Settings you may specify the specific drive letter associated with the device.

NEW QS Downloader:  Copy files to hard drive then convert (QSR)

This new feature is designed to resolve problems with the file transfer in QS Downloader, when transferring a file might produce an error such as “Unable to Decompress”.  This is associated with a problem related to the USB connection, and selecting this option should resolve that issue.

NEW Philips 2330 Four-Button Foot Pedal (QSR)
We’ve added support for the Philips 2330 four-button foot pedal for hands-free recording.  The fourth button is located at the top of the middle button, and can serve as the ‘Send File’ function instead of the usual combination of pressing two buttons simultaneously (on the standard three-button foot pedal).

NEW   Sample Rate and Compression Fields Added to Table View  (QSR)

The Sample Rate and Compression fields have been added to the “Table View” in QS Recorder.  This allows you to verify how each file was recorded at its source.  The sample rate is the frequency used during recording – the higher the sample rate, then the better the audio quality (although file size also increases).  The Compression fields states whether or not the file has used a compression algorithm to decrease the overall file size.

To display the Table View, select Open File, then click on ‘Table’.  To return to Normal View, click on ‘Normal’.

 

Quikscribe Player Enhancements:

FIX Locked Settings  (QSP)

Previously, if the Lock Settings feature was engaged to password-protect the user profile settings, then the “Display Locked Files” and “Display __ Files” settings were also locked and could not be selected.  This fix resolves that issue so that those two features are always available.

FIX Corrected File Preference functions (QSP)

The ‘Get Next File’ prompt (when enabled) will follow the instruction set in the ‘Next File Preference’ to load the next file in the folder according to the preference of Favorite folder, Last Selected Path, or Any Path (that is, the next file in any mapped path according to priority).

Quikscribe Manager Enhancements:

NEW   Added profile comparison feature (QSM)

The ‘Generate Profile Comparison’ feature allows you to generate an Excel spreadsheet that provides a table view of all QSR and QSP user profile entries.  This is a handy tool to use to look for any anomolies in the individual user profile settings. 

When prompted, specify the file name to save in Excel.

Then the Excel file is created, and a pop-up window will appear prompting you to select and open the file.  It should look something like this in Excel:

At this point you can scan through the fields to check for any differences in the settings (“0” = “off”, “1” =“on”)

NEW Record and Playback Device Settings (QSR)

In QSR Settings you may now define the specific input device to use for recording (Record Device) and also the specific Playback Device.  The new buttons for Record Device Settings and Playback Device Settings are to access the Windows audio controls, so you no longer have to go through Windows Control Panel to access those settings.

From the File menu, you can now verify and set the Record and Play audio levels directly in QSR, without having to access Windows Control Panel.

NEW Support for new SpeechMike models 3200 and 3210 (QSR)

The new models include a replaceable standard USB cable instead of the hard-wired cord found in previous models.  Often the most wear over time occurs to the cable being run over with chair casters, resulting in an expensive repair for what should be a minor replacement.  This new design helps to minimize that issue.  Other ergonomic design improvements keep these models as prime selections.

NEW Ability to Add Custom Functions for Hotkey or Hand Control

This feature allows you to define a hotkey sequence that may be needed by an external application for a certain function.  For example, an EMR (Electronic Medical Record) application may need a keyboard sequence of CTRL+ALT+N to retrieve a new record.  By defining that sequence in Custom Functions, you can then map that function in the Hand Control Training so that by pressing a button on the hand control, the hotkey sequence is engaged automatically for that feature.

In addition, you can also define an external program to run.  In the example below, the application program for Microsoft Excel has been defined as a custom function, and then that function is mapped to a button on the hand control microphone.

NEW Revised Entry Panel to define Network Send locations (QSR)

This new entry panel for the Send destination paths adds the ability to have a logical naming convention for each defined path, so you can have a Site Name that is different than the actual folder name.  You may also define for that Send path whether or not to “Use Voice Recognition” for that path.  This allows you to select a destination to use voice recognition for all files sent to that path, and if not selected, then all files sent to a different path will not use voice recognition.

You may now send files to an FTP destination and use the integrated voice recognition process.  Previously you could only send to a network destination using VR.

FIX Corrected field values (Subject, Matter No., etc.) not being displayed on Open File dialog

The field values were showing as blanks, even though there were entries that should have displayed.  This is now corrected.

Files that were transferred from portable recorders using QS Downloader resulted in empty data fields for audio time duration in QS Manager.  This has been corrected.

When sending files using the FTP method, the internal FTP ports opened by QSR would remain open.  The program has been corrected so that FTP ports are closed after the file transfer has completed.

FIX Added Post Clip function to prevent handcontrol stop button from making clicking sounds (QSR)

Some hand control microphones were generating a loud clicking noise when engaging the Record/Stop/Play/Rewind functions.  The new Post Clip feature will help to reduce or eliminate the extra clicking noise.

NEW Added feature to prevent corrupt audio by returning a failure message if unable to write to disk (QSR)

This new feature helps to add integrity and reliability to the audio file that has been recorded.  In case there is a problem with Windows writing the file to disk, QSR will provide notification that there is a problem, in order to minimize the impact of a disk failure and corrupt file.

NEW Added additional hardware checks to stabilize licensing problems on Windows 7 (QSR, QSP, QSM)

Internal changes introduced by the Windows 7 operating has impacted the QS licensing system.  This new feature helps to minimize that impact by compensating for potential errors generated by Windows.

Quikscribe Manager Enhancements

NEW Added ability to display Custom Fields in Quikscribe Manager Console (QSM)

NEW Added feature to highlight current folder.  A black background highlights the icon for the current folder in the File Monitor section on the left side, and the folder name and full path will appear on the title bar.  (QSM)

NEW   Added new menu items “Export Settings” and “Load Settings” under File Monitor Settings  (QSM)

By selecting Export Settings you can save all your pre-defined folder names and other settings to an external file, and then use Load Settings on another computer to import those saved settings.  This allows you to easily define the folders and settings on a new installation on another computer.

This allows you to see if a newer version of the software is available for download.

NEW   File caching has been added, so that the file list for each folder will load in the display, and subsequent clicks on the folder results in faster re-display of the folder contents and file list.  (QSM)

This provides better performance for refreshing the file lists.

This corrects an intermittent error on some computers, where the volume level was unstable and would not hold the Windows audio setting consistently.

Custom fields that are defined for integration with other applications are now displayed in columns in the Table View, as well as on the main display when the file is opened.

NEW Added Playback Device Settings (QSP)

This feature allows you to select the specific device to route audio playback.  E.g., if you have a USB headset then the Playback Device should be set to that USB device for QS Player, and all other Windows applications can use the default speaker device for all other audio playback.  This can help to remove unwanted sounds or alarms from other applications while transcribing using a headset.  This will only work properly if you have an additional sound channel (such as a USB headset).

FIX Saved Volume Key after moving Slider (QSP)

The volume slider control was getting reset by Windows on some computers.  This fix will maintain a consistent volume level during playback.

NEW Added Setting to disable Open File Dialog

This new setting allows an adminstrator to lock down the Open File display, so that the typist is not permitted to “pick and choose” a file.  If this option is selected, then files are loaded automatically by selecting File -> Next Audio.  If the “Get Next File” feature is enabled, then upon completion of the current file, the next file is loaded automatically.

FIX   File locking has been enhanced to prevent duplicate access to a file at the same time.  For shared file folders, we recommend using the Preference settings of “Copy File First” and “Rename Locked Files” to eliminate file access issues.  (QSP)

FIX   Prevented return of file to open file list when displaying open dialog (QSP)

This keeps the current file held by the current user, so that you can check the Open File list to see what’s there, without relinquishing control of your current file.

Corrected a bug where the file monitor icon in the System Tray of the Windows Task Bar did not provide the correct number of outstanding files (when you move your mouse cursor over the icon).

NEW   Added Favorite Folders   (QSP)

In the Path Maps menu option under Settings in the Open File panel, or under Settings -> Preferences -> Set Path Maps, you can now define one or more “favorite” folders to establish a preference for the Get Next File feature.  If a folder is designated as a “favorite”, then there is a new setting under Preferences where you can also select the option to scan just the Favorite folder(s) for the Get Next File function.

The volume slider control in Playback Controls can be engaged if the checkbox is selected first.  This volume slider applies to the Playback Device defined under Settings.  This can be useful if you have a USB headset and only audio for the QS Player is routed to the headset (if the Playback Device is set to the USB headset), and all other audio can then be routed to the default sound device (such as PC speakers).

Quikscribe News Update - October 21, 2010

Announcing Quikscribe Version 7 for Windows 7 ! (QSR, QSP, QSM)

Version 7 of QS Recorder, QS Player and QS Manager now fully support the Windows 7 operating system.  You won’t notice many obvious changes to how the programs are used, but there are significant enhancements to ensure compatibility with the new Windows 7 64-bit platform. 

The new features include:

Online Manual (QSR, QSP)
The old Help manual has been replaced by an Online Manual (found under the Help menu) in QS Player and QS Recorder.  Documentation for all features is now contained in that repository for your reference.

File Cleanup in Recorder Manager/Player Manager (QSR, QSP)
QS Recorder and QS Player have features for “automated housekeeping” of files that have been Sent from QSR, and files that have been Completed in QSP.  There is a setting in QSR and QSP to control how long backup files should remain in the Sent folder for QSR, or Completed folder in QSP.  Previously, the “cleanup” routine ran when the QS program was started.  To improve performance, the cleanup routine has been moved to a background process.  For QS Recorder, this process will also include files downloaded from portable recorders.

Reset Hand Control Mapping Button in Settings (QSR)
There is a new feature in QS Recorder Settings to reset the functions on the hand control microphone.  This feature is a handy tool to use in case any of the buttons on the hand control stop working.  Often resetting the Hand Control Mapping will resolve the issue if it’s software-related and not a mechanical issue.

New Phone Dictation Features
There may be times when you need a convenient way to record dictation, and using a desktop recorder or portable recorder isn’t feasible.  It could be that an individual user doesn’t have a comfortable stance with computer technology tools, or maybe there are times when you need a universal method to deliver the dictation.  Our new phone dictation features provide a simple way to use a standard telephone device to record and send dictation through the Quikscribe workflow.  We offer solutions for one to 32 incoming phone lines, so you can have a backup or alternative method to capture and deliver digital dictation.  Please contact us for more information.

 

Erase Log (QSR, QSP)
Under the Help menu there is a new entry under the Log menu item.  The Log provides ongoing tracking of activities while using the QS software, and is very useful when troubleshooting a QS technical issue.  If the log file becomes large, it can be reset using the Erase Log function.

Quikscribe Downloader (QSR)
Previously the download program was titled “QS DPM Downloader”, and provided customized support for the Philips Digital Pocket Memo (DPM) series.  The new Quikscribe Downloader program still supports the Philips DPM, but has enhanced capabilities to support a wide variety of portable recorders.  In most cases for other (non-Philips) recorders, use the setting for “Fixed Disk Integration”.  The Quikscribe Downloader manages the connection of the portable recorder device with the PC, and then the transfer of files to transcription using the workflow settings defined for the user in QS Recorder.

Added Support for Loading Wave and MP3 formats for Quikscribe Downloader
The new Quikscribe Downloader program now supports importing wav and mp3 file formats from portable recorders.

Added Icon balloon for failed File Send (QSR)
The Send File activity in QS Recorder uses a background process called SequentialFileSender, which has an icon in the System Tray of the Windows Task Bar, and looks like three networked computers.  The icon changes color depending on the status of the Send File process.  If the color is black, then there is no file transfer activity.  If green, then a file transfer is occurring.  If red, then there is a problem with the file transfer, which could be related to a bad network connection or something else.  The new feature also provides a pop-up balloon window that states if there is a problem with the file send process.  The balloon will alert the author that a problem has occurred with sending a file and that attention is needed.

End of Life for Philips SpeechMike (Series 2) Announced - Will Be Replaced by New SpeechMike 3 Series
Philips will discontinue the current Series 2 models of the SpeechMike by the end of this year.  This includes model numbers 5262, 5272, 5274, and 5276.  The design of the new Series 3 models will be similar to the SpeechMike Air, with brushed aluminum front and stainless mouse trackball.  Support for these discontinued models will still be present in Quikscribe Recorder, so there’s no need to rush out and replace equipment that is working well for you.  Please contact us if you have concerns with availability of the Series 2 models.


QS Player Enhancements:
Quikscribe Player has numerous improvements for faster file processing, especially for environments that have slower network connections.

Pre-Fetch Next File in Queue-
There are new settings that allow you to “Pre-Fetch” the next file in the queue.  When you are transcribing a file and reach the defined trigger point, then the Player Manager agent will fetch the next file in the queue and place the fetched file in your Downloaded folder.    Then when you complete the current file, you can immediately open the fetched file instead of waiting for the file to load from your network.  In the example shown below, the trigger point is set at 80%, so when you are at 80% complete with the current file, the Pre-Fetch feature will start to download the next file in the queue.  If you are using the “Get Next File” feature, then when you select Yes for the “Get Next File?” prompt, the file that was fetched will be opened.

(Note:  please don’t confuse the Player Manager agent with the QS Manager console program.  The Player Manager is a background process to manage certain file activities, and has an IAF icon in the system tray of the Windows task bar.).

- Closing/completing a file is faster:  File synchronization process was moved from QSP to Player Manager to speed up QSP when closing a file

- Added feature to display folders as “(Offline)” in open dialogs if the network connection is not available

- Opening files from network now uses a caching process to improve performance

- Created new Temp paths to prevent permission errors

- Moved call to update file monitor status icon into separate app to increase responsiveness

- Added new preference “Alway prefer next file from last author”, so that files may be grouped by author and then opened sequentially

- Added error handling and recovery for automatic conversion of imported files

- Added new display option “Hide date/time required prefix from filename”, so date stamp prefix is not displayed in file name

- Set automated import compression rate based on QSP Setting

- Improved open dialog display time by not accessing file size

- Enabled User configurable fields to be displayed on front of Interface (new feature to extend integration with other applications)

- Added ability to import stereo WMA files

- Added ability to import m4a files from iPhone

File Corruption Issues: (QSR)

We’d seen a few situations where file corruption has occurred during recording, or trying to send a file to Transcription.  Resolution of this issue has included removing a couple features that could contribute to Windows errors.  The ability to drag and drop a Windows file onto the Quikscribe Recorder display interface has been removed, as well as the Windows file property to attach a file using the right-click function in Windows Explorer.  You may still attach files using the marker function while recording.

We also identified a potential problem with a lost marker when overwriting existing dictation.  This issue has been corrected in the latest version of Quikscribe Recorder.

 

Customize Field Names (QSM, QSR, QSP)

The standard field labels for entering metadata to identify patient or case information have been limited to the field names Subject, Matter Number, Doc Name and Doc Type.  The QS Manager now provides the tools for QS Recorder and Player to display custom field names.  These field names can also be linked easily to your existing document management system, PACS system, or any other Windows application that can pass data through an automated interface.  The integration interface (provided with Quikscribe) automatically creates a new dictation file in QS Recorder and populates the data fields, which is then tracked with QS Manager and QS Player.


Activity Logs (QSR, QSP)

Quikscribe logs activities that help analysis of technical issues if and when they occur.  If you do experience a technical issue, we strongly suggest you use the Request Technical Support feature that is found under the Help menu.  When you select this, detailed logging is turned on automatically so that the next support request will include the detailed log.  Detailed logging is turned off automatically after 30 days so the log file doesn’t continue to build over time.  This new internal feature will help to reduce the resolution time of any future issues.

New Hand Control Microphones from Grundig and Philips! (QSR)

We’re pleased to introduce three new hand control microphones to use with Quikscribe Recorder.  Two of these models are wireless, so there is no cable attached to the hand control microphone.  These mikes are available now.  Please contact us for more information.

Grundig Cordex (cordless)
The Grundig Cordex is a wireless hand control microphone, which means you aren’t tethered to the computer.  If you like to get up and move around while you dictate, this this mike is for you!  The unit comes with a docking station that acts as the receiver, and also provides charging for the battery.

The Cordex has an internal buffer to capture recording when the unit goes out of range for the wireless connection to the computer.  The advantage of this is that you should never lose any dictation while recording, as the buffer will empty automatically when the unit is back in range.  Price is $499 for the kit - please contact us for your Quikscribe discount price.

Grundig SonicMic
The SonicMic attaches to the PC with a USB cable.  It has a very smooth slide switch to control recording.  In addition, there are 5 programmable function buttons to use with Quikscribe Recorder, plus a mike sensitivity switch on the upper right side (so you can easily adjust your input volume for recording).  This unit is very sleek, comfortable, and lightweight.  A heavy base to hold the mike on your desk is also included.  This is a great mike at a great price!

Phillips SpeechMike Air (cordless)
The new SpeechMike Air is cordless, allowing complete mobility.  The unit will vibrate to let you know you’re out of range when recording.  There is a wireless mouse trackball control with left and right mouse buttons, and three programmable function buttons to use with Quikscribe Recorder.  The detachable Bluetooth receiver allows portability, so you can take this mike with you and use your laptop and SpeechMike while you travel.  Price is $499 for the kit - please contact us for your Quikscribe discount price.

Password Protect Content (QSR, QSP)

Password protection is now available to secure an individual file.  After creating a file, select File, then Protect Content to enter and then confirm a password entry.  This password will be required when opening the file with Quikscribe Player.

E-mail settings (QSR, QSP)

Quikscribe Recorder and Quikscribe Player now have new e-mail engines.  The new e-mail engine allows the program to generate an e-mail transaction to send a file or a message automatically from the program.  The settings for Author Details in QS Recorder or Typist Details in QS Player allow the selection of the default Windows e-mail client (such as Microsoft Outlook) or to use an SMTP server.  Please note that some Internet Service Providers have restrictions using SMTP for e-mail.  However, we suggest using a gMail (from Google) for SMTP e-mail transactions if all else fails, as this provides a standard method to use with QS Recorder in QS Player.


Display Files Sent As Urgent (QSR, QSP)

Quikscribe Recorder now provides a pop-up message display to confirm when sending a file marked as urgent.  As a reminder, you can program the Send button on your hand control microphone to press and hold for one or 2 seconds to automatically mark the file as urgent.  Or you can select from the drop-down list in the Send File panel to mark the file as urgent.  Urgent files are noted in red color in QS Player, and are sorted to the top of the queue list.

Additional Quikscribe Player Enhancements

- Simultaneous file open: New optimizations to prevent identical files appearing in the open file dialogue and will detect when two typists try to access the file at the same time.

- Importing files: New progress display pop-up when importing files

- File status updating:  New setting to define the time period to update remote file status.  This allows the File Completer agent to update the file status periodically so that the author can check the file status using QS Recorder.  The default setting is 20 minutes, and the setting allows the feature to be disabled, if desired.


Set File Property Columns (QSM)

QS Manager now provides the ability to select which fields you want to display, and in the order you prefer.  Just select File Monitor Settings, then Set File Property Columns.  Check the fields you want to display, or highlight a field and use the + or - buttons to move the field up or down the list.
